Create and track invoices

The Billing page is where you invoice families and follow the money in. It is organized into tabs: Invoices, Payments, Overdue, Pricing, and Online payments.

Create an invoice

  1. On Billing, click New invoice.
  2. Choose the student, then set the issue date and due date.
  3. Add one or more lines, each with a description, a quantity, and a unit price.
  4. Save as a draft, or send it to the family.

Invoice statuses

An invoice moves through these statuses:

  • Draft — not sent yet.
  • Sent — issued to the family.
  • Partial — partially paid.
  • Paid — fully settled.
  • Overdue — past its due date and still unpaid.
  • Void — cancelled.

Record a payment

Open an invoice and record a payment. Choose the method:

  • Online (Stripe)
  • Cash
  • Card (terminal)
  • Bank transfer
  • Check

The balance and status update automatically as payments come in.

Follow the money

The top of the page shows key figures at a glance:

  • Outstanding — total still owed.
  • Overdue — amount past due.
  • Collected this month — what you have cashed in.
  • Drafts — invoices not yet sent.
